Asana is used by the organization's teams to communicate with each other and follow up on our tasks for better team performance. Each group that uses Asana is divided, for example, sales team, marketing and design team, salespeople and engineers. This platform has solved different communication problems, and delays in the projects.
  • The best tools of Asana are found once we start a project, since the calendar that is integrated into our mail is super easy to use and we use it as a small agenda.
  • The management of projects is incredible, the monitoring provided is one of the best in its category, since it facilitates group work.
  • The creation and assignment of tasks, notifications and that each person can enter to work no matter where it is since it has a good mobile and web interface.
  • There are not many disadvantages in Asana since its great team has been in charge of improving it constantly, in previous versions it could only be used in English, but now we have several languages to choose from.
  • A point against Asana is that at first it was quite difficult for everyone to adapt to it, it was a long learning process.
Asana is a great ally when our team has been under a lot of pressure of work and tasks, we usually pay close attention to the notifications and agenda so we do not miss anything and avoid deliveries of the last minute. It would also not be appropriate to add monitoring tasks hours before delivery, this becomes compulsory. We are aware of maintaining a good atmosphere in the chat rooms because the discussions there are not good at all.

[Asana] is being used specifically for Project Management, Task Management and Vendor Management. It is used across the entire organization in different segments. It addresses the scheduling, tracking and management of activities for major projects. In terms of vendor management and repetitive tasks it is used as a reminder for expiration of licenses, renewals and other relevant tasks that cannot be allowed to fall through the cracks.

  • Customizability - Being able to customize a solution that meets your needs or activity.
  • Better integration with Office 365
  • It would be useful for it to be able to export project data right into Microsoft Project as that tool is more complex and some project manager do prefer it. Therefore, it would be good to have the option.
  • An official training program to put new and even exiting users that is relative short and straight to the point would be helpful to maximize utility and get more person onboard.
I would recommend Asana due to its ease of use to get up and running quickly to facilitate project management, task management and the ability to customize and adapt the solution using templates to meet specific scenarios. It is not cost prohibitive and I believe it is a tool small teams can use to get the job done efficiently and effectively.

We use Asana to track bugs and manage projects ranging from traditional business to business clients to home decor and fashion brands. Everything from design & development to ongoing marketing and merchandising. We are all working from home so it is the cornerstone of our daily effort. It makes it easy to collaborate.

We are a funny size. Probably a bit too small to be the optimal users of this platform, but we do like Asana and see the value. Sometimes it feels slow - or maybe that's just my typing, but it's just hard to move fast enough in business, in general, these days. They are always trying to make things easier and faster.

Asana was being used to manage internal projects by the upper-level management team. It was used across the entire organization, but only a select few had access to it. The business problem that it was being used to solve was cross collaboration across various teams. Some of the projects that were created in Asana were building out specific departments.

Because I work with someone hours away, and we typically work opposite schedules, having a software where we can log projects we're working on, tasks that need completed, posting schedules, etc. was extremely important for the success of our organization. We were looking for an easy to use software that also offered a well put together app, all of which Asana offered.
  • The app is extremely useful.
  • The subtask feature has been extremely helpful when we have several steps that need to be taken care of for a project.
  • Email notifications - For each task, subtask, comment, I receive an email. This is unnecessary when I have the app on my phone.
  • Software integration with Gmail would be a huge benefit.
Asana is well suited for an organization that has employees working in distance with each other. It is also well suited for organizations that may have multiple projects going on at one time, with various schedules and due dates. We think the organization Asana has provided has been key to our success.

This is used across our organization and it is great for project management. It allows us to see who is doing what and when and the timetables that we have and are working with. Great program and it has a small learning curve which is helpful for those who are not the best with computers.

This is great for group project management with people in many different locations. It is being used by specific departments. Asana is being used within the marketing department in order to help us manage our workflow and meet the right deadlines. Asana helps us stay organized as a team and streamlines our processes -- from content creation, to approval, to design, to execution. The checklist feature allows us to assign each stage of the process to the appropriate person with a clear deadline. The integration with Slack is also very helpful in keeping everyone on track.

Most of the projects are managed through Asana. This allows us to organise and plan out our current a future workloads. It also allows us to easily provide customers with updates based on the progress of their project and any task outstanding. We can use the template feature to recreate the projects and update the specific tasks as necessary.

  • It is simple to use, great looking dashboard. Asana has the right amount of features for people looking to add to their regular to-do apps.
  • The Android application contain all the basic functions. However, it's much more convenient to work from the desktop.
  • Reporting is quick weak.
Asana is a great tool even if just used at a basic level. However there is lot of added benefit from spending time learning all the additional features that can be used and turn it into a very powerful project management tool, such as task dependencies, recurring tasks, sharing tasks between multiple projects etc.

I work at a mid-sized digital agency that has used Asana for several years. When we first adopted Asana, I was the technical project manager. As the technical PM I was responsible for managing 20+ website projects at once as well as support tickets from previous clients. Asana was a great way to assign accountability to specific team members and assign due dates to keep projects moving forward. Before Asana, we handled everything through email. It was a nightmare trying to keep track of the status of each project and the relationships between tasks. For me, more than anything, Asana is great for assigning "ownership," which is key to actually getting things done. Though I am no longer a PM, I still use Asana daily to assign responsibilities to my team and keep track of project calendars.
  • Fast: Unlike other PM platforms I've used, Asana is very fast. In fact, it's so fast that when you leave a comment on a task, anyone else looking at that task at the same time will actually see updates as you type. You can easily move tasks into different projects by dragging and dropping. There is no lag time between opening new projects and tasks. Everything seems to load instantaneously.
  • Intuitive: Asana doesn't have a steep learning curve. The default view is list-based. Your team will have no problem learning how to add new tasks, use the WYSIWYG editor, or assign tasks. Use familiar commands like "@" to tag a follower on a task.
  • Keyboard shortcuts: The keyboard shortcuts are incredibly helpful. Simply press enter to enter a new task, tab+backspace to delete, use familiar copy/paste and undo commands, and much more. PMs with a lot to juggle will appreciate the shortcuts.
  • My Tasks: The "my tasks" view provides a single, centralized location for you to see everything on your plate. Use section headings and drag and drop tasks to re-order. I use this to prioritize my week. It helps me focus on what's really important.
  • Searchability: The search in Asana is intuitive. Our task backlog dates back three years, and I can still almost always find what I'm looking for via a simple keyword search. Projects are archived, not deleted, so I always feel like my historical information is safe.
  • Flexibility: Projects can be set up as a waterfall/list view or as kanban. This product should work well for teams with different styles.
  • Integrations: Asana integrates with everything. There's a great Slack integration, but my favorite is the Instagantt integration. Using Instagantt in tandem with asana is a super easy way to create attractive digital project calendars.
  • Emails: Asana can lead to inbox-overload. By default, you are subscribed to updates on any task that you create or follow. Updates include someone marking a task complete, leaving a comment on a task, or adding a file to a task. This means that if your coworker adds a file, makes a comment, then assigns the task back to you, then marks the task complete, you're looking at 4 emails in 10 seconds. You can always unsubscribe from emails or write rules to categorize them in your inbox, but the default setting will leave you inundated.
  • Assigning responsibility to multiple team members: It is possible to assign a task to multiple members of your team, but I don't like the way asana handles this. Rather than assigning the one task to multiple people, asana creates DUPLICATES of the original task. This can be frustrating because it creates redundancy.
  • Dependencies: Assigning dependencies is a new feature for asana. While it's great that this is now possible, it's pretty clear that it's not a focus for the software. The dependencies don't show up clearly in the list view, though they are obvious within the task view.
  • Overwhelming: This is probably more of a governance issue for my team specifically, but our Asana has gotten overwhelming. I count the flexibility of Asana as a pro, but it does come with risk. The lack of rules and controls leads to a "wild west" situation where anyone can organize tasks, projects, templates, etc. anyway they want. We have some team members organizing all their tasks by team function, others organizing tasks by project, others using entirely separate Asana workspaces, etc.
Overall, despite its drawbacks, Asana works really well for our team. I think this is an appropriate [tool] for a mid-sized digital marketing firm, like ourselves. A software development team is going to want something more robust, like JIRA. However, if you're just shopping for an easy-to-learn tool that will help you manage responsibilities without relying on email? Asana is perfect. Its flexibility also makes it a great fit for most work-flows in almost any industry. Asana is simple out-of-the-box, but it does have robust functionalities that will allow your team to ramp up if desired.

We use Asana across our entire company for all projects, including recruitment, product, and internal operations. This platform is primarily leveraged by our younger associates and managers to track and assign projects, although our whole team is set up and has project assignment on the platform. Our more senior managers and executives do not use the platform because forcing behavior there is too hard and the platform is too complex to onboard them.
  • Allows you to assign projects to other teammates
  • Manage up by assigning superiors tasks to review, as opposed to bothering via email
  • Nice daily view that lets you see your most pressing tasks, and hides more long-term goals from view to avoid clutter
  • Great visual timeline feature to see project progress and deadlines
  • Really hard to force behavior on this platform - when I use it, I like it, but we are not consistent enough across our team to truly utilize it
  • Steep learning curve - it is not possible to really master this platform without the videos and tutorials, even for young tech-savvy employees
  • Hate having to add a specific date for each deliverable, but if you don't add a specific one, it clutters up the top of your task list
Asana is well suited for small to-do tasks and for managing up by assigning tasks to peers/ managers. It is less well suited for larger tasks, as the subtasks feature is not well tailored. It is also hard to use across a less tech-savvy team, as the layout is not terribly intuitive and doesn't follow any existing platform format.

Asana is being used across the whole organization to manage multiple projects and tasks. We use it to collaborate teams across many different projects. Of particular help is ASANA's email reminders of tasks to be completed; this keeps critical tasks uppermost in our minds. The new project dashboard provides a visual representative of how a project is progressing.
  • Asana supports the management of many detailed tasks and keeps those tasks uppermost in our minds by emailing reminders of which tasks are upcoming and which tasks are due.
  • Asana simplifies team collaboration of complex projects. For example, within each task each team member can make comments, voice concerns, or ask questions. Then, each following that task receives an email update, and can respond. So within each task a running commentary and record is kept. Also, files can be added to each task so that each team member has access to documents that are pertinent to the completion of that task.
  • Asana assists in managing a number of complex projects at one time.
  • Asana has many functions that I wouldn't know anything about without accessing the "Help" guide. For example: I had no idea that I could turn an email that I received into a task. However, the "Help" guide is clear and detailed.
  • Asana is not totally intuitive in using and accessing all of its functions.
The entire team must be committed to functioning within ASANA in order for it to be effective in managing projects and tasks. Getting buy-in from first time users is not always easy; not everyone thinks, or functions, in this structured way. At the outset, it would be effective if one person became an ASANA specialist and provided training for new users.
ASANA is particularly useful if any of the team members are functioning remotely. ASANA keeps all team members in the loop of daily changes, additions, and communication.

We use Asana to manage the tasks for a small group of UX Designers. The ability to create task templates has enabled us to easily manage repetitive projects where the individual tasks do not change. While organizationally we also use JIRA, the design team is extremely comfortable with the Asana interface.
  • Team calendar allows me to see what projects the group is working on before assigning a task or project.
  • The Google plug-in and mobile apps allow me to track conversations and comps from the design team.
  • The ability to assign a time as well as a due date ensures work is ready to review in time for status meetings with superiors.
  • Team calendar only shows due date, not the LOE on any given day, making assigning new tasks less smooth than I would like.
  • Would be great if comments could be separated, e.g. client view or development team.
  • Ability to send notifications only to chosen team members is not a feature currently offered.
It is well suited for task management but for larger projects the workflow could be better. It is not well suited for allowing a design team to share comps and get creative approval without the requester seeing the comp at the same time. Overall separate collaborator and client views would be a great add to make this a killer app.

In my last role, a team of 14 of us used Asana to manage projects at the Santa Clara County Office of Education. We used it to keep in touch with project details, deadlines, and status updates. It addressed the need to have regular communication for professional development activities without ongoing meetings and excessive emails between team members. The expectation was that everyone would login daily and provide updates.
  • Organization - all tasks can exist in one location.
  • Communication - communication can be focused in one primary location.
  • Project management - multiple projects could be virtually managed simultaneously.
  • Time management - team members saved a considerable amount of time doing updates in Asana rather than elsewhere.
  • We used this with only small teams and in my current job, if we really shared it with multiple groups, the cost might be more than we could entertain in public education.
  • There is a learning curve, although how to videos and YouTube were a time saver!
  • There is an initial hurdle that staff needs to overcome, thinking this is "one more thing".
I've found few free project management systems in public education that work for a small team to increase effectiveness and efficiency. Asana does just that. I'd recommend it for small groups and access to the free features seems to be plenty for a small organization. It is also accessible from smartphones and any computer, which is also a benefit to teams that are on the go.

Asana is used by our organization to keep track of tasks and to manage product features to be implemented in the software. It is also used to assign tasks to other people and maintain a monthly task calendar. It is used across the whole organization. It solves the business program of managing people and the product at the same time i.e. project management.
  • Asana does organizing and keeping track of tasks really well. It has smart views which allow you to see and customize a smart view for tasks such as recently completed, sort by deadline, sort by assignee etc.
  • Asana does a good job of allowing people to collaborate. The fact that I can comment and ask question on other people's task is very helpful to me. This removes the need of multiple emails in a way that everyone in the organization or part of the team can see it. Being able to add attachment is also really helpful.
  • Asana does an incredible job of setting privacy and securing my tasks such that tasks in one team of the organization cannot be viewed by others. I can decide to make it publis or private. This is very useful as it allows me to keep tasks secure and effective at the same time.
  • I hate that Asana does not have time keeping functionality inbuilt. I use Asana with lot of contractors and I would love if there was a time keeping function.
  • Asana sends me a lot of notifications. Sometimes it is super helpful but often I opt out of notifications. I would love to see if Asana can optimize or change the notification frequency in a unique way.
  • Asana does not allow me to chat if the other user or team members are online. I would love to have that feature instead of just commenting.
Asana is very well suited if you want a lighter project management tool with high user - friendliness. It is less suited if you want something super advanced. For example, if you want to create burn rate, calculate velocity, or create agile or waterfall graphs. A key question to ask is : do you want a highly advanced project management tool with steeper learning curve or you can manage with lighter one for now?

We use Asana at Tribal Method to manage the development of Windows Phone applications. We start by brainstorming tasks and entering them in our workspace, and grouping the tasks and sorting them by the date the tasks is due. We then assign which team members are responsible for completing that tasks, where they "own" the tasks and manage the discussions from other team members within that task. The greatest thing about Asana is it's ease of use, and simple learning curve because it's easier to get people on board Asana when working on a project.
  • It's extremely user friendly and easy to learn, due to it's simplicity and intuitive layouts. It's simple and clean.
  • You can have your emails forwarded to Asana, where it will show up as a task, to be checked once completed, after which it will be sent to the archive.
  • Asana is constantly coming up with new ways to add value to the program. They have frequent updates on their blog to keep users in formed.
  • One of the best things about Asana is the inclusion of apps. For example, there is a Gantt chart that is now integrated for Asana
  • The inbox should be revamped to include a communal email system, such as various forums you may find online. It can be a place on the dashboard where people can post questions, or urgent messages for everyone in the workspace to see.
Asana seems especially useful for anything requiring collaboration on a project, whether that be in a business environment for software development, or a group of students who may occasionally collaborate remotely for a school project.

We used Asana for a website redesign project. It was used by our entire organization, and it helped track the progress of issues we encountered during testing. We were able to post DEV, QA, and Creative tasks and keep track of each by promoting them through different stages i.e. In progress, done, tested, etc.
  • Large number of tasks slow down the tool.
  • Easier way of tracking progress of individual items (if there were flags to mark items, in progress, done, etc)
  • Sometimes you had to scroll through tiny windows to see the content.
  • Large number of items slows down the UI.
  • It would be great if individual "ticket" could be promoted through multiple stages (i.e. in dev, dev complete, in testing, testing complete) Our team created header tickets and would have to manually move tickets around instead of just flagging them.
  • The way things are displayed sometimes cause it hard to read content, i.e. you have to scroll through tiny windows to read what is inside.
I think the tool works great for a waterfall process but not so much in an agile environment. I think in an agile environment users would want a little bit more control and an easier way of viewing current progress on a given project. I would recommend Asana to a colleague since it is fairly easy to learn how to use and can be a great tool.
